How do I create a quotation?(Click to Open)

How to create a Quotation:

If creating a Quotation for a Customer:

  1. Main Menu
  2. Click Customers
  3. In the list on the left, select the Individual or Company that you would like to create a quotation for by clicking the blue circle button
  4. In the bottom half of the screen, click on the Quotes tab
  5. Select the name of the contact you would like to create the quotation in the drop down list
  6. Click the New Quote button

If creating a Quotation for a Prospect:

  1. Main Menu
  2. Click Prospects
  3. In the list on the left, select the Individual or Company that you would like to create a quotation for by clicking the blue circle button
  4. In the bottom half of the screen, click on the Quotes tab
  5. Click the New Quote button

Once the quote has been completed, it can be reopened from the Quotes tab by clicking on the blue circle button on the same line as the quotation you would like to view.

Note: You must have sufficient rights to access the quotation.

How to create an invoice(Click to Open)

Invoices can be created from the Customer, from a Sales Order and from a Job. Sales Orders can be part invoiced, meaning multiple invoices against one order if required.

When creating a blank invoice, items can be selected from stock or enter a description and sell price for non-stock items.

When viewing a Sales Order, or in Customer financials, click the button ‘Create Invoice’ to create and invoice to that customer. The items on the sale order will automatically display on the invoice. The invoice can still be edited, until the invoice is set to complete.

How to create a sales order?(Click to Open)

A Sales order can be created from a Customer contact, or from a quotation/estimate.

Create a Sales Order to a customer contact:

  • From Main menu, Click the Clients Module.
  • Select the client
  • Select the client contact
  • Click ‘New Order’

Now inventory/stock items can be added to the Sales Order.

From a quotation/estimate, click ‘Create Sales Order’. All inventory/stock present on the quotation/estimate will be added to the Sales Order.

How to make a payment against an invoice?(Click to Open)

To make a payment against invoices, go to the Customer Financials area:

  • From Main menu, Click the Clients Module.
  • Select the Financials
  • Select the client
  • Select the Account Status / Payments / Statements tab.
  • Click “Make Payment”

Payments can be made with a credit note or references against a cheque, card, online or BACS.
