Customer Management

BusinessMan has a full Customer Relationship Management CRM software system allowing complete administration and management of your customer records. Letters, faxes and emails are all kept within the database, so there is no need to save documents to a server location, the system does it all for you. The Customer Management Software provides customer tracking, customer monitoring and sales management. The integrated sales crm software will display graphs and report activities for all sales staff between date ranges. Filter reports by type and sales person.

The Customer CRM module covers all aspects and functionality that a small business CRM software package should include, such as letters, communications, telephone calls, emails, templates quotations, orders and more - see below for a summary.

Use 'type ahead' to easily and quickly find customers, or search in any field for any customer data.

View reports based on the length of time before a prospect (lead) becomes a customer.

Summary

Create your own templates for letters, emails and faxes and insert custom text and paragraphs in the business CRM software module.

Emails are both sent and received by BusinessMan, with filtering to ensure only those that relate to your customers or suppliers are kept in the system. So if someone is away on holiday or off sick, you still receive the email.

Contact reminders – The system can remind you when you are due to call a customer, so you don’t miss that important sales call.

Create as many contacts against each customer as you want, each of them with as many different addresses as you want, but at all times remaining linked to the main customer record. Ideal where you deal with companies that have many locations both nationally and internationally.

BusinessMan has Google Maps integrated to allow you to instantly locate and get directions to your customer based on their post code.

Quotations are created from the customer contact, so the contact information is entered on the quote as soon as it is created.

You can make a telephone call from the system just by pressing a button on the contact screen, if you have a suitable telephone system. Also integrated into the system is Skype.

All customer information is easy to hand, with an extremely easy to use graphical interface, which has been developed with many years of experience.

Customer Management Overview

Moving back to the main menu we will select the customer’s module.

Once you're in the customer module all information regarding that customer is to hand the screen is basically split up into three parts.

To the left we have a customer navigation panel. In this area it is possible to select the customer in several ways. The first way is to select the list of the top and start typing the name of the customer you are looking for a more letters you type the small the list will get until it will be possible to see the customer that you are looking for you can use the up and down arrow keys to navigate to the customer and then press the return key to make that the active customer.

The second way is to start typing in the filter by name field this will reduce the list below corresponding to the amount of letters you type once the customer you are looking for is the latest you can then select it by using the blue button to the left of the Account No.

The other way of course is just to scroll up and down the list until you see the customer you want and then select them by means of the blue button.

Once you have selected the customer the main details that customer presented to you in the top right segment of the screen. Numerous tabs are available at the top of this segment which indicate the overall activity of this company. The very top tabs show you the choice of main detail view, location view, which is linked to Google maps, or the customer website view.

In a small list below the main details you will see displayed any calls that you have scheduled to make to that customer or by clicking on the call history tab a record of the previous calls.

The bottom right-hand segment of the screen is reserved for all the contacts associated with the customer of which, you can have as many as you wish.

You can select your chosen contact by pressing the blue button to the left of the list. The full details of this customer are now presented to you. You can have as many addresses associated with this contact as you wish but if the main contact address is the same as the main company address you can press this button to save typing in the address again.

All communications and correspondence, quotes, orders, e-mails and appointments are shown here under the various tabs. All quotations, letters, orders, e-mails and other correspondence are created from the contact. For instance, if you wish to create a customer quote, it would be created from here and not from the quotations module. This ensures that all the correct details the contact that carried over to the quote each time a new one is created.

In the main company view in the top segment when you view the quotes, orders, e-mail or communications tabs you are viewing all of those quotes communications and orders that have been created for the whole company to all contacts.

You will also notice a small financials button in the shape of a money bag. This takes you to the financial settings for that customer. The view is very similar to the main customer view. From here it is possible to view the financial information and set up account details for this customer.
