Jobs

The Jobs module is extremely high in functionality. You create a job from the Sales Order. Once the job is created, you can allocate resources such as staff, vehicles, tools or any other resource from any group you have created.

Complete time tracking for duration of each job. Accumulated time, planned time and actual times for detailed reporting and analysis of job data.

Summary

The resources can be planned in the planning view, where using the full "drag-and-drop" scheduler, you can schedule the job to take place at any time you wish. All resources are linked together to ensure they are all available. If the job time is changed, all the resources may be moved to the new time. The start time, end time or the whole schedule can be adjusted with “Drag-and-drop”. If one of the resources is not available at the new time, you will not be able to plan the job at that time, unless you change the resource to one that is available for that period. You may also change the resource using “Drag-and-Drop”. Just select the resource with the mouse and drag it over to a different resource and the system will change the resource for you.

For Windows users our “Scheduler for Windows” product is free with BusinessMan, (Mac users can use this product through parallels), which is extremely feature rich and extremely powerful. One Scheduler Pro license is provided for each BusinessMan license.

Documents can be stored against the job, using the in-built document management system, so they are always available in the right place at the right time!

Working hours are calculated based on the start times and end times for each job. Weekends and national vacations are also taken into account. From a “Master Job”, a running total is provided which accumulates all the hours used on each of the related child jobs.

Related jobs can be created from any job, so you can have one or more “Master Job” and many “Child Jobs” related to each other. In addition “Child Jobs” can be created from “Child Jobs”, so you have “Master Jobs”, “Child Jobs” and also “Parent Jobs”, where you have created a “Child Job” from another “Child Job”.

For example, if you take an order from a customer to refurbish 100 properties, you would need to create 100 basic jobs. There would possibly be many skill groups required to complete each job, such as builders, plumbers and electricians. Each house would be one job, with many child jobs detailing the scope of the job each skill group would be required to complete. On top of that, each skill group could have one or more smaller jobs to perform in order to complete their required element.

All of these jobs can be shown against the order, showing graphically, what jobs are Master Jobs and what jobs are Child Jobs. In addition, in the “Job Project View” you can see the status of all these orders as a Gant Chart view, so you can get an overview of the whole project!

A progress bar can be shown in each job to represent the completion status percentage of that job.

Costs can be recorded against each job. Purchase Orders and other additional costs may be raised against the job.

Jobs Overview

Returning to the main menu, one of the modules remaining to explore is the job's module.

Selecting the jobs button from the top menu takes us to the comprehensive jobs module. If we explore the listings tab first we can see the default list is that of the outstanding jobs. Again colour coding is applied to assist in the identification of the different status of these jobs.

The "All Jobs" tab gives us the ability to filter by the possible job statuses and by date range. As usual, selecting the blue button to the left of the chosen job in the list, will take us to the job detail.

Jobs may be created from orders or from existing jobs. Jobs created from existing jobs are called related jobs and the button is provided at the top of the details screen to create such a job. You may create as many related jobs to one job as you like. These become child jobs. You may also create jobs from child jobs making that child job a parent job. All of these jobs are related to the first job which is the master job.

If the job has been created from an order, that job and all its related jobs may also be viewed from the order.

Orders and costs may be placed against each job if required to provide accurate job costing.

Jobs can require a schedule or not. If a job requires a schedule resources may be allocated to the job and the job may be scheduled accordingly. The job planning view shows the scheduled details and the project view shows the details of this and all related jobs.

Jobs can also be allocated a time span. Time for the job can be calculated using actual start and actual finish times or accumulated times from the time log.
