Summary

The Quotations/Estimates Module allows creation of estimates for Customers and Prospects. Select items from stock/inventory or manually enter line items. Create text-based quotations with details and images or select from a template (using the 'Quote Builder') to immediately generate a detailed quotation. Quotations can be duplicated for ease of repetitive quoting. Each quotation can be emailed as a PDF or printed. The Quotation is stored against the entity for which it is created. For example, against the prospect, customer contact, vendor/supplier, job, contract. This helps keep all data related safely and seamlessly.

Quotations have the option to 'Require Authorisation', before being sent to a client. Without authorisation (based on privileges), the user cannot send the quotation.

Use the Quote Builder or other templates to create complex quotations with text descriptions and images rapidly. When a template is selected, the quotation is populated with the pre-completed quotation detail, and is ready to send to your Customer or Prospect. Follow-up quotations automatically after 14 (or user-defined) days. This can be toggled on or off. All quotes for follow-up are listed in the Sales Dashboard for ease of management. Overdue quotations falling after their follow-up date are immediately indicated in red.

Quotation

Customer Quotation with default currency of GBP used. Two quote builder lines have been used to generate the quotation. More line items can be added, together with a discount and tax code. Additional costs can be added to the quotation which are not displayed to the customer.

Quotations Detail Tab

The detail tab in quotations shows a list of current line items attached to the quote with the ability to add or delete further line items.

Quotations Drag and Drop

The Drag and Drop view allows users to view the available products from a hierarchy and drag and drop them into quotations at the bottom where they can edit the quantity in the quote. Users can also drag whole categories over including the stock within the category.

Quotations Overview

Moving again back to the main menu, we will select the quotations module. From here we have detailed capabilities for search and filtering of quotations and we can also create graphical reports by salesperson or customer showing the ratios of those which have been accepted or rejected or various other selectable criteria.

From any of the list views we can select a quote to view its detail. If the quote has been accepted we can also create a sales order from here. All the detailed information on the quote is automatically transferred to the sales order.

It is also possible to create comprehensive quotes based on text and graphics directly from the quote or by using elements pre-created in the quote builder part of the templates section.

The costs and margins for each quote are also visible here. Document management is also available in the quote, so any document relating to this quote may be stored here.
